The Position

Reporting to the Logistics and Deliver Manager, the Order to Delivery (OTD) Coordinator plays a key role in managing the end-to-end process of order fulfillment, ensuring that customer orders are processed, manufactured, and delivered on time. The OTD Analyst acts as a liaison between sales, production, logistics, and customers, ensuring seamless communication and efficient coordination to meet customer expectations.

Key Responsibilities:

  • Process customer orders, ensuring all relevant information is captured accurately.
  • Check that orders meet our standard terms, capacity & lead time. Orders that do not are to be rejected.
  • Coordinate with sales, supply chain and production teams to confirm order specifications, production schedules, and lead times.
  • Manage process of customer change orders including updated documentation and updating capacity plans
  • Work with sales and logistics teams to ensure that offload requirements are known ahead of shipping. Preferably, at the time of placing the order.
  • Ensure that sales have obtained a freight quote for their customer orders which include delivery.
  • Serve as a primary point of contact for the sales team regarding order status, delivery updates, and post-shipment support.
  • Work closely with the production team to schedule and prioritize manufacturing of orders based on customer needs and delivery deadlines.
  • Maintain accurate records of all customers, orders, and sales transactions in the company’s ERP system.
  • Identify and address any issues in the order fulfillment process, including production delays, shipping discrepancies, or inventory shortages.

Minimum Qualifications:

A Bachelor’s Degree in Business Administration, Supply Chain Management, Operations or a related field, four years’ experience in order management, logistics, or supply chain coordination, or an equivalent combination of education, training and experience required.

  • Experience in a manufacturing or renewable energy industry considered an asset.
  • Experience with ERP systems and order management software considered an asset.
  • Experience with sales management and production planning tools is considered an asset.
  • Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills, with the ability to interact effectively with customers and internal teams.
  • Attention to detail and problem-solving ability to handle complex order issues and customer inquiries.
  • Proficiency in Microsoft Office Suite, and experience with data entry and reporting.
  • Customer-focused with a passion for delivering a positive customer experience.
  • Team-oriented with the ability to collaborate effectively across departments.
  • Ability to work in a fast-paced, dynamic environment while maintaining attention to detail.
