Job Type: Temporary Full Time (approximately 18 months)
Salary Range: $28.89 – $32.59

Primary Duties and Accountabilities include, but are not limited to:
- Process property matters, purchase and sale agreements, easements, encroachments, Teraview Title Searches, PIN Maps, IR plans and other property related matters such as lane closings, street closings, discharges, leases, property standards, turnaround agreements, street assumptions, etc.
- Process License of Occupation Requests.
- Administrative and clerical duties such as keyboarding, filing, scanning, transcribing dictation, emailing correspondence, preparing notices, preparing ads, maintaining data base and tickler systems, etc.
- Assist with preparing City By-laws for City Council Agenda and coordinating agreements with by-laws, preparing Consolidation By-laws, Deeming By-laws and updating binders.
- Complete Corporate Searches.
- Assist Legal Counsel with documenting litigation matters; e.g., preparing pleadings, serving documents, preparing affidavits of service
- Liaise with Court and Tribunal offices regarding various matters to ensure deadlines are met; diarizing time limits.
- Maintain working knowledge of Rules of various Tribunals and Rules of Civil Procedure.
- Receive inquiries; answer general inquiries, direct individuals to the appropriate staff for services, guide them in finding various documents for claims, purchases, complaints, etc.
- Enter agreements and Certificates of Insurance in Clear Risk and maintaining same.
- Inputting payroll for Legal Department Staff.
- Update and maintain Legal Subscriptions.
- Maintain a working knowledge of the City’s Health and Safety policies and procedures.
- Perform other related duties as assigned.
Qualifications:
- College Diploma in related field; e.g. Office Administration-Legal, Legal Assistant, Law Clerk, etc.
- Three years working in legal administration, preferably in a municipal environment.
- Computer literacy in a Microsoft environment including Excel, Word and Outlook.
- Working knowledge of Teraview, Teranet, Ecore and Clear Risk; is an asset.
- Ability to read, write and communicate to perform the duties of the position.
- Customer service skills.
- Ability to organize time effectively to perform the duties of the position, ensuring deadlines are met.
- Ability to meet and interact with people in a pleasant and professional manner.
- Work both independently and as a team member.
- Detail oriented.
