As a key player in the financial services marketplace of Ontario we are excited to announce that we are currently seeking a full-time Executive Assistant & Recording Secretary.
Reporting to the Office of the CEO and in support of the organization, the Executive Assistant and Recording Secretary is responsible for a wide variety of duties as they relate to the Chief Executive Officer (CEO) and other members of the Executive Management team. The Executive Assistant and Recording Secretary is accountable to perform Executive and Board-level support in a confidential manner.
The Executive Assistant and Recording Secretary is responsible for working with the CEO, the Executive Team and Board Chair in drafting communications for various stakeholders and reviewing and editing various executive level documents. The Executive Assistant and Recording Secretary carries out various general administrative tasks in support of the CEO and Executive Team. The Executive Assistant and Recording Secretary also supports the Corporate Secretary through ensuring all aspects of the Board of Director meetings are organized, recorded and maintained.
Preferred candidates will possess the following qualifications:
- Post-Secondary Diploma in Office/Business Administration, or relevant discipline is required.
- Competent with standard office software with an ability to adapt to software changes
- Experience in taking formal corporate Board minutes
- Highly proficient typing, recording and proofreading skills
- Excellent writing skills, including proper spelling, grammar, and punctuation
- Superior time management skills, multitasking skills, and the ability to prioritize tasks with minimal supervision
- Available and flexible to work various hours to meet business needs and scheduled meetings.
