SUMMARY
We are seeking a highly organized and proactive Executive Assistant (EA) to support our executive team, and Board of Directors. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling communications and performing various administrative tasks to ensure the smooth operation of the organization.
RESPONSIBILITIES
- Provide high level administrative support to the CEO, managing calendars, scheduling meetings and handling correspondence.
- Act as the primary point of contact between internal and external stakeholders.
- Manage confidential information and ensure efficient workflow within the organization.
- Coordinate and facilitate meetings, events and conferences, including preparing agendas, taking minutes and following up on action items.
- Handle confidential information with discretion and professionalism.
- Act as a liaison between the executive team and internal/external stakeholders.
- Conduct research and compile data to support decision making processes.
- Assist with special projects and initiatives as needed.
- Assist with event planning and community initiatives.
- Perform general office duties, such as ordering supplies, managing files, and maintaining records.
- Adapt to the dynamic needs of the organization and provide flexible support when required.
QUALIFICATIONS
- Two-year diploma in business, administration, human services, or mental health or addictions fields. A combination of education, training and experience may be considered.
- Five years experience in an executive assistant role within a unionized environment.
- Excellent organizational and time management skills.
- Proficiency in Microsoft Office Suite.
- Detail oriented and capable of handling high volumes of work efficiently.
- Ability to work independently and proactively solve problems.
- High level of professionalism and discretion.
Other:
- Acceptable Police Vulnerable Sector Check upon hire, and to be maintained throughout employment
- Ability to provide effective services in English and French, preferred
- Ability to meet the essential physical requirements of the position, including sitting for long periods of time.
