Primary Duties and Accountabilities include but are not limited to:
- Receive and document service requests and complaints via various communication devices; e.g. telephone, e-mail, two-way radios, etc.
- Answer general inquiries from various internal and external stakeholders; e.g. City departments, public, Council, and emergency services and direct to proper personnel when needed.
- Create work orders and assign to appropriate Area; e.g. summer and winter control requests.
- Operate and monitor various communication devices; e.g. two-way radio system, emergency cell phone, door camera, etc.; dispatch services, contact appropriate supervisor and/or emergency service, when necessary.
- Receive emergency information; prioritize and respond appropriately and follow emergency response protocol.
- Inform internal and external stakeholders and emergency services of road closures and re-openings, utility damages and accidents and collect information when needed.
- Maintain and follow-up regarding status of service requests and service complaints and direct appropriately for the completion of the service request or proper handling of complaint.
- Research service requests for damage claims or any history of calls; including but not limited to FOI requests, flooding call reporting, property owner information as per Supervisor requests, etc.
- Co-ordinate and schedule sewer lateral and rodding inspections and assist with emergency locates when required.
- Monitor and maintain record of Environment Canada weather advisories and forward to appropriate Division Heads.
- Answer queries on by-laws, services and user fees; knowledge and understanding of GIS Maps for all aspects of Public Works Service.
- Update data for after-hours standby and winter control schedule.
- Update Public Works main line and Landfill recordings; keep track of subscriptions (issued culvert permits).
- Report bylaw infractions involving parked vehicles with appropriate third-party agency.
- Open, sort, distribute mail to the appropriate department and ensure outgoing mail is forwarded.
- Maintain a thorough working knowledge of the City’s Health and Safety policies and procedures.
- Perform other related duties, as assigned.
Qualifications:
- College Diploma in related field; e.g. Office Administration, etc.
- Two years administrative experience.
- Dispatch experience, is an asset.
- Computer literacy in Microsoft Suite; including Excel, Word and Outlook.
- Knowledge of specific proprietary software; e.g. Worktech, GIS, is an asset.
- Active listener with excellent communication skills.
- Ability to read, write and communicate to perform the duties of the position.
- Ability to meet and interact with people in a pleasant and professional manner; under extreme emotional circumstances (i.e., flooding, storms, personal property damage, etc).
- Ability to prioritize and multi-task to perform the duties of the position, in a fast paced, high volume, demanding setting.
- Sound judgement, critical thinking and problem solving.
- Excellent communication and interpersonal skills.
- Work both independently and as a team member.
- Knowledge of area roads and neighborhoods, is an asset.
