Community Services Assistant

Job Type: Temporary Full Time (approximately 12 months)

Salary Range: $47,741 – $54,803

Primary Duties and Accountabilities include, but are not limited to:

  1. Assist community members and groups to plan and provide activities; develop and recommend programs that create and maintain revenue profit.
  2. Schedule event bookings and meet with users to determine set-up requirements.
  3. Prepare and distribute facility use permits; ensure groups receiving permits to host events involving the consumption of alcohol are aware of and meet the requirements outlined in the Alcohol Risk Management Policy.
  4. Maintain an in-depth, current understanding and working knowledge of relative legislation/regulations; e.g. AODA, Transportation of Dangerous Goods, Fuel Handling, etc.
  5. Assist in the recruitment, training and monitoring of various Community Services staff; e.g. summer students, marina and other off site venue staff.
  6. Prepare and provide schedules regarding Community Services staff.
  7. Order and maintain inventory; receive and provide product to various areas to ensure operational needs are met.
  8. Assist with requisitions and purchasing.
  9. Prepare cash floats, balance cash, reconcile, and document.
  10. Prepare promotional information and monitor results.
  11. Oversee and maintain Point of Sale (POS) and marina management software; including training and support to staff.
  12. Liaise with various areas, staff and Supervisor Community Services; communicate issues and/or concerns, determine corrective course of action and implement solutions.
  13. Receive inquiries and /or complaints from customers and deliver acceptable solutions, while maintaining positive public relations with community groups.
  14. Oversee, set up and monitor events.
  15. Complete and maintain attendance tracking, statistical information and records keeping.
  16. Provide coverage for the Supervisor Community Services, as needed.
  17. Maintain a thorough working knowledge of the City’s Health & Safety Policy and Procedures and applicable legislation therein.
  18. Available to work variable operating hours, including evenings, weekends and holidays.
  19. Perform other related duties as required

Qualifications:

  1. Secondary School Diploma or equivalent.
  2. College Diploma, in a related field; e.g. Recreation Management, Parks, Facility Management, Hospitality and Tourism, is preferred.
  3. Three years work experience in similar role, within a related field.
  4. Knowledge and understanding of AODA, Transportation of Dangerous Goods, Fuel Handling, etc.
  5. Computer literacy in Microsoft Office Suite, including experience in Excel, Word and Outlook.
  6. Working knowledge of social media platforms; e.g. Facebook, Instagram, etc.
  7. Familiarity with Activenet and Point of Sale (POS) terminal software.
  8. General knowledge of facility operation/maintenance equipment.
  9. Demonstrated math, reporting, and cash handling skills.
  10. Excellent customer service skills.
  11. Ability to organize time effectively to perform the duties of the position.
  12. Ability to meet and interact with people in a pleasant and professional manner.
  13. Work effectively and efficiently as a team member in a fast paced environment.
  14. Ability to read, write and communicate to perform the duties of the position.
  15. Must be physically able to perform the work as per the Physical Demands Analysis of the jobs (standing, repetitive bending and lifting is required)
