Job Term: 2 Permanent

Salary: $26.92 – $31.31 Per Hour*

Do you have highly developed administrative and customer service skills? If so, they will be well utilized providing administrative and front-line support on Employment Standards related services to the public, program staff and managers.

Note: These positions are required to report to and work from the physical work location (70 Foster Dr, Sault Ste Marie). Hybrid flexible work arrangements including telework (remote work) may be considered.

What can I expect to do in this role?

You will:

  • Provide customer service to internal and external clients and respond to or direct inquiries regarding employment standards claims, The Employment Standards Act, 2000, and ministry programs
  • Prepare, review and update a variety of material such as reports, spreadsheets, letters and correspondence
  • Process and track incoming and outgoing mail, courier and fax
  • Maintain Records Information Management (RIM) systems
  • Enter claim forms and review for contentious allegations and health and safety issues for referral
  • Prepare claims for investigation
  • Complete provincial and federal database, internet and other searches for information
  • Follow up on missing or unclear information
  • Work in a team environment to collaborate in delivering administrative services

  • You have analytical skills to review and assess claims
  • You can identify the nature of inquiries or complaints and refer issues as appropriate
  • You have reasoning and problem-solving skills to determine the extent of information to be provided in response to inquiries and identify contentious issues
  • You can ensure confidentiality and compliance with OPS client service standards
  • You can identify problems and provide solutions with regards to processes and procedures

Time Management & Organizational Skills

  • You have time management and organizational skills to prioritize workloads, switch tasks and ensure activities are completed within established timelines
  • You have the ability to handle high volumes of mail/email/phone inquiries/requests and data entry

Administrative Knowledge and Skills

  • You have knowledge of office administration policies, procedures and practices to provide administrative support for program staff and the program manager
  • You have the ability to provide general clerical duties and follow office procedures including records management practices and mail/courier services

Communication & Interpersonal Skills

  • You have well developed written communication skills to compose plain language correspondence, send emails, maintain reports and ensure accurate documentation
  • You have proven oral communication skills and can apply tact and diplomacy when responding to a wide variety of inquiries from the public and internal staff
  • You can establish and maintain cooperative working relationships within a team environment

Technical Knowledge and Skills

  • You have a detail-oriented approach and demonstrate a high level of accuracy to input data correctly and verify for errors/discrepancies
  • You have ability to acquire and apply basic knowledge and understanding of relevant rules and regulations, related to Employment Standards (e.g. The Employment Standards Act, 2000, the Employment Protection for Foreign Nationals Act, the Protecting Child Performers Act, program legislation)
  • You have the ability to apply general knowledge of occupational health and safety and dispute resolution services, and the Freedom of Information and Protection of Privacy Act(s)

Computer Skills

  • You are proficient with word processing, spreadsheets, databases, scheduling, and email software as well as various office equipment
  • You have demonstrated keyboarding skills to accurately enter high volumes of information with a time sensitive nature into computer databases
