Admin Officer

Windsor Place Retirement Residence is seeking a dedicated and organized Administrative Officer to support the daily administration and smooth operation of our retirement residence. The successful candidate will assist management in maintaining effective administrative systems, supporting staff coordination, and ensuring the facility operates in compliance with applicable policies and regulations.

Key Responsibilities

The Administrative Officer will be responsible for:

  • Assisting in the day-to-day administrative operations of the retirement residence.
  • Supporting the Director in preparing and managing staff schedules, shifts, and coverage plans to ensure continuity of services.
  • Developing and maintaining records related to room occupancy, furnishing, and facility resources.
  • Creating and updating inventory management records for supplies, equipment, furnishings, and other facility assets.
  • Assisting in the development and implementation of administrative policies and procedures to support smooth business operations.
  • Monitoring administrative processes to help ensure the facility remains compliant with applicable regulations and internal policies.
  • Maintaining organized records, reports, schedules, and documentation required for operational and regulatory purposes.
  • Coordinating with staff, management, residents, and service providers to support efficient facility operations.
  • Supporting management in tracking operational needs and helping the organization remain aligned with its long-term goals.
  • Performing other administrative duties as required by the Director or management team.

Job Type: Full-time, Permanent

Wage: $21.00–$25.00 per hour

Requirements

  • Completion of secondary school is required.
  • Post-secondary education in office administration, business administration, health administration, or a related field is an asset.
  • Previous experience in office administration, facility administration, retirement residence operations, healthcare administration, or a related setting is preferred.
  • Strong organizational and record-keeping skills.
  • Ability to manage schedules, documentation, and administrative priorities.
  • Good communication and interpersonal skills.
  • Ability to work professionally with seniors, staff, families, and management.
  • Knowledge of retirement residence or healthcare administrative operations is an asset.
  • Proficiency in Microsoft Office, email, spreadsheets, and basic office systems.

The successful candidate will work in a retirement residence environment and will be expected to maintain professionalism, confidentiality, and a resident-focused approach at all times.
